How to choose equipment lending software: the criteria that matter
Published on
Associations, schools, libraries, technical departments, companies: every organization that lends equipment ends up looking for a tool better suited than a notebook. But some software merely records names, while others handle availability, reservations and proof of handover. Here are the criteria to check before choosing.
Availability, visible right away
Before promising an item, you want to know whether it is free without digging through a register. Good software shows on each record whether the item is lent or available, and who has it. Also check that the information is live for the whole team, not just on one computer.
Reservations in advance, with date conflicts
Promising an item for next week is pointless if nothing sets it aside. Look for a tool that creates a reservation, flags overlapping dates and turns the reservation into a loan at the moment of handover.
A person, a company, or both
When equipment goes to a company, you need to know who took it and for which company. Check that the tool tells a borrower from a company, keeps their details in reusable lists, and that each borrower's record shows all their loans with an export.
Recorded condition, with a photo, at departure and at return
Condition is what prevents disputes. A good tool lets you note the condition and add a photo at departure and at return, and ties that trace to the specific loan. That is what shows whether damage comes from this loan or an earlier one.
Tracking each item when several are identical
Three identical cameras are not the same camera three times. If your items have different histories, ask whether the tool gives each unit a number and a label, with its own condition and its own history, and whether it lets you choose which one you lend.
Signed contracts and automatic reminders
A loan contract signed on screen, or attached as a paper version, stays linked to the loan and is found in seconds. An automatic reminder as soon as the return date has passed saves you from discovering late returns by chance. Look at the price too: a module included in the subscription, with no paid option on top, is easier to plan.
