How to choose stock management software: the criteria that matter

Published on

Searching for stock management software turns up dozens of tools, each with its own feature list and its own pitch. Hard to compare objectively when every site praises its own strengths. Here are the criteria that actually matter, roughly in the order they should weigh in the decision.

Price: flat fee or per user?

Two pricing models dominate: a per-user price that climbs with every hire, or a flat fee per team tier that stays stable as long as headcount stays under a threshold. The second is more predictable for a small business, the first can make sense for a large team where each user has occasional use.

A free trial isn't a criterion on its own: no trial with a flexible commitment (cancel anytime) protects you just as much as a free trial hiding a yearly contract behind it.

Multi-location: is it actually included, or an extra cost?

Many tools advertise multi-warehouse support but reserve it for a higher tier, or charge per site on top. If the business covers several locations (several shops, a warehouse and vehicles, several departments), checking that this is included from the first tier avoids a bad surprise after signing up.

Barcode scanning: on what device?

Some tools require a dedicated scanner, hardware on top of the software cost. Others use an ordinary phone's camera, nothing extra to buy. For a small business, the second option avoids a hidden cost when getting started.

Getting started: how long before it's actually usable?

A tool built for large enterprises often comes with a long setup phase, sometimes with an integrator's help. A tool built for small businesses should be usable within hours, not weeks. Importing existing stock from a file rather than re-typing everything by hand makes a real difference here.

Support, for when something breaks

Knowing whether support is included or a paid option, and what response time to expect, avoids a bad surprise the day an import fails or a supplier order gets stuck. Worth checking before signing, not after.

Frequently asked questions

?

Should you always pick the cheapest tool?

+

Not necessarily. A cheaper tool that doesn't cover multi-location or barcode scanning can end up costing more once those features are added as paid extras. Compare price at equal features, not price alone.

?

Is a free trial essential before choosing?

+

No, what matters is the absence of a long commitment, not the free trial itself. A tool with no trial but cancel-anytime terms carries the same risk as a free trial hiding a yearly contract.

?

How long does switching tools actually take?

+

With an import of existing data, switching can take a few hours instead of weeks of manual re-entry.
