In a town hall, the same keys serve many people: municipal staff, associations, event organizers, contractors. The notebook on a desk works as long as one person keeps it. As soon as a weekend gets complicated or a staff member is away, nobody knows who has the community hall key. Here is a simple setup that lasts.

One key ring per room, with its contents known

Start by describing each key ring: the main door, the kitchen, the storage room, the electrical cabinet. Knowing exactly which keys make up the community hall key ring lets you see, on return, whether one is missing.
